Less front-desk busywork, patient privacy intact

We automate the work around patient care, from marketing content to staff questions. When a project touches patient information, we build and document it to HIPAA's requirements from the first day.

Two kinds of work, two sets of rules

Most of a practice's busywork never touches a patient record: social posts, class announcements, review replies, staff policies, internal help requests. Some of it does. We keep the two apart, so the everyday work can move quickly and patient information is handled under HIPAA's rules.

When patient information is involved

  • It stays on hardware you control. Records are processed by an AI model that runs on a dedicated computer, not sent to a cloud AI service.
  • Separate, limited sign-ins. Record work happens under its own account with only what it needs: no web access, no add-ons and no saved chats.
  • An audit trail. Every use is logged with who and when, without copying the record itself into the log.
  • Paperwork before records. A written HIPAA security risk analysis and signed policies come before any real record is used. Building and testing use invented data only.
  • The IT around it, to the same standard. Encryption, multi-factor sign-in, backups and monitoring on the computers and accounts around it. See cybersecurity.

What we automate for practices

Marketing content with guardrails

Branded images, letters and short videos from a short brief. Your list of banned words and claims is enforced, and nothing reaches you until we've reviewed it.

Posts on a calendar

Approved pieces posted or scheduled to your Google profile and social accounts from one calendar.

Review replies you approve

New Google reviews get a drafted reply that waits for your approval, so nothing is ever posted about a patient automatically.

A policy assistant for staff

Front desk and clinical staff ask how something is done and get the answer from your own policies and procedures, with the source.

One workspace, several brands

A practice with more than one service line gets a brand profile for each, so every piece carries the right name and look.

A help desk for your team

Staff report problems from one portal and see where each request stands, handled by the same team that runs your IT.

How we start

  1. We sort the work

Which tasks touch patient information and which never do. Most of the quick wins are in the second group.

  2. We document it

Where patient information is involved, the risk analysis and policies are written before anything is built.

  3. We build with invented data

No real patient record is used while building or testing.

  4. You approve, we run it

You decide what runs on its own and what waits for a person, and we keep it running.

Talk it through before you build

Tell us which work you'd like off your staff's plate. We'll say what can be automated and what has to stay with a person.

Questions we get

Is this HIPAA compliant?

HIPAA compliance is a practice-wide responsibility, not a product feature. When our work touches patient information, we build and document it to the HIPAA Security Rule: a risk analysis, written policies, limited access and an audit trail, before any real record is used.

Does patient information go to ChatGPT or another cloud AI?

Not in the record work we build. Records are processed by a model on hardware you control. Marketing and policy tools that never see patient information can use cloud AI.

Do you also look after our computers and network?

Yes. We provide managed IT for medical offices: monitoring, security, backups, Microsoft 365 and a help desk, from the same local team.

Tell us what's going on.

Call, or send a few lines about your business or your computer. You'll hear back from a person who can actually fix it.
